Errors in payroll processing, tax filings, or employee classifications can lead to penalties, audits, and unnecessary stress. For businesses with a growing team, having payroll handled correctly and consistently is not optional—it’s critical.


At A Bigger Bottom Line, we offer three structured payroll service tiers, designed to support businesses at different stages of growth. Some payroll tiers are included within our accounting subscription programs, while others may be offered as standalone payroll services.


Our payroll services are powered by QuickBooks Payroll, paired with professional oversight to ensure accuracy, compliance, and clean financial reporting.



Our Payroll Service Tiers at a Glance



Tier 1 — Basic Owner-Only Payroll

Tier 3 — Platinum Full-Service Payroll

QuickBooks Payroll Elite | Up to 4 employees

Initial One-Time Set Up Fee: $850 upon acceptance

Ongoing service included in the Platinum Subscriptionor available as a standalone payroll-only service

Standalone payroll pricing (ABBL Run): $550 per month

Additional employees are supported through per-employee monthly add-ons.

Client Run with outside payroll system: $345 per month + adjustments


Each tier includes payroll software at the appropriate level, payroll processing, and payroll tax compliance support—while clearly defining what is included and when upgrades or add-ons apply.


Initial Payroll Setup Fees

ABBL-Managed Payroll Only

Payroll setup is a one-time service required to properly configure payroll systems, tax accounts, and accounting integration before payroll can be run compliantly.


Setup fees apply whenever ABBL is managing payroll, regardless of whether payroll is bundled with bookkeeping or purchased as a standalone service.


Tier 1 — Payroll Setup

Owner-Only Payroll (QuickBooks Payroll Core)

One-Time Setup Fee: $250

  • Payroll account configuration

  • Owner/employee profile setup

  • Federal and state tax account setup and verification

  • Direct deposit configuration

  • Payroll item mapping to chart of accounts

Tier 2 — Payroll Setup

  • Initial payroll run support and validation

  • Required for all Platinum payroll clients

  • Reflects higher compliance exposure and accounting complexity




Setup Add-Ons (If Applicable)

These apply only if needed at setup and are billed separately.


  • Additional employees beyond included count: $75 per employee

  • Benefits deduction setup (medical, dental, vision, retirement): $150 per plan

  • Multi-state payroll setup: $150 per additional state

  • Mid-year payroll migration with historical cleanup: Custom quote

  • Time-tracking system setup beyond standard configuration: $150




When Setup Fees Apply (Important)

Setup fees apply when:


  • Payroll is newly added to a client’s services

  • A client migrates from an outside payroll provider to ABBL-managed payroll

  • Payroll complexity materially increases (e.g., hourly added to salary-only payroll)



Setup fees do not apply:


  • To routine employee adds after payroll is established (handled as add-ons)

  • To payroll tier upgrades where configuration already exists (unless scope materially changes)



Payroll setup services are billed as a one-time fee based on payroll tier and complexity. Setup includes payroll system configuration, tax account setup, accounting integration, and compliance verification. Setup fees are required prior to the commencement of ABBL-managed payroll services.



Payroll Tier 1 — Basic Owner-Only Payroll

Fully Managed Payroll by ABBL using QuickBooks Payroll Core


Price: 

$250 inital one time set up fee, then

Employees Included: 1 owner-employee only


Availability: Standalone payroll service or add-on to Bronze bookkeeping


Payroll Software (Included)

Payroll services are provided using QuickBooks Payroll Core.


The payroll software subscription is paid for and managed by A Bigger Bottom Line and is included in your monthly service fee.

Clients do not receive a separate payroll software invoice. This is because A Bigger Bottom Line will have set up the QuickBooks Payroll system themselves, will receive a discounted ProAdvisor rate on software from QuickBooks for doing so, and there is no need to map accounts or integrate with other payroll tools.

Important accounting note: Even in cash-basis bookkeeping programs, payroll requires tracking payroll tax and withholding liabilities. This service includes the required modified cash / accrual hybrid accounting related to payroll. Heance the $145 per month add-on fee.

Alternative: Client-Run Payroll (Owner-Only)

Payroll Accounting & Reconciliation — Client-Run Payroll

(using the outside 3rd party payroll system like ADP, PayChex, Gusto, etc.)

Price: $145 / month


If you choose to run payroll through an outside provider, ABBL will provide payroll accounting, reconciliation, and filing review to ensure payroll is accurately reflected in your books.


Pricing is equivalent to ABBL-managed payroll due to the additional accounting and reconciliation work required.
This service introduces payroll-related liabilities into your accounting and requires modified cash / accrual hybrid tracking, even in otherwise cash-basis programs. Hence, we still have to charge an addtional $145 per month add on fee even if you set up and pay for an outside payroll service.

Done by Client (not included in Tier 1 service):

  • Creation of Employee Handbook & Company Policies

  • Job Description creation with a list of duties and access to be granted for new employees

  • Emailed and Mailed Job Offers to New Employees

  • Emailed and Mailed Notices to Employees about promotions

  • Emailed and Mailed Notices to Employees about demotions

  • Emailed and Mailed Notices to Employees about Terminations

  • Emailed and Mailed Notices to Employees about Lay-Offs

  • Forwarding any received notices from Employees to ABBL about quitting, resigning, pregnancy leave requests, retirement, buy-out requests, etc. Client to forward these emails to HubDoc for ABBL review and add to the employee file.

  • Read Client Payroll Manual

  • Fill out Payroll Status Change Forms for new and current employees whose status changed to be done by ABBL two weeks before the request (otherwise, rush fees will be assessed or fees for an off-cycle payroll if needed)

  • Employee follow-up to enter time into the  proper system

  • Employee training on expense reporting systems

  • Clients must set up their own time-tracking system if desired, which is not included in this Basic Tier 1 payroll program.

  • Discipline communications with staff

  • Determine and contact an HR resource provider for assistance when needed


Payroll Tier 2 — Gold Premium Payroll

Fully Managed Payroll using QuickBooks Payroll Premium

  • $450 inital one time set up fee, then

  • Ongoing service is included in the Gold Subscription, or

  • $325 per month as a standalone payroll service


Employees Included: Up to 3 employees

Employee Scaling

  • Additional employees may require per-employee fees or an upgrade to Tier 3 payroll, depending on complexity.

  • If you don't have additional compliance requirements for your state, or any further complexity, then you may be able to add a few additional employees for $30 each per month as an add-on. We will quote on a case-by-case basis as typically more employees require an upgrade to Tier 3.



Alternative: Client-Run Payroll (2–3 Employees)

Payroll Accounting & Reconciliation — Client-Run PayrollPrice:

  • Payroll liability tracking and clearing

  • Storage of payroll returns in the client portal

  • Coordination when discrepancies are identified

  • More employees are added

As payroll complexity increases, ABBL-managed payroll often becomes the more efficient and cost-effective option.
This service introduces payroll-related liabilities into your accounting and requires modified cash / accrual hybrid tracking. Hence, we still have to charge an addtional $245 per month add on fee even if you set up and pay for an outside payroll service.

Done by Client (not included in Tier 2 service):

Payroll Tier 3 — Platinum Full-Service Payroll

This service is designed for established businesses with higher payroll complexity, California compliance exposure, and the need for scalable payroll systems.

  • Payroll accruals are reflected on the balance sheet

  • Automated payroll tax payments and filings (federal and one state)

  • Payroll journal entries and liability reconciliation

  • Workers’ compensation payroll reporting support

  • Management-level payroll reporting

  • Quarterly payroll review

  • Enhanced California payroll compliance monitoring

  • QuickBooks Online Payroll Elite Software

  • Client Payroll Manual

  • Payroll Status Change Request Form

  • Employee Self-Service Portal via QuickBooks Workforce

    • Employees are invited to this portal via their PERSONAL email

    • Employees can track their time via the Workforce payroll (even if being paid via salary. They don't have to use this feature if they track time via another program that integrates time with QuickBooks, such as BigTime, Knowify, or others)

    • Employees will be notified via email of each paycheck

  • Multiple benefit deductions (health, dental, vision, retirement)

  • Employer retirement match

  • Time-tracking integrations

  • Multiple payroll schedules

  • Multi-state payroll

  • Frequent payroll corrections

  • New Hires

  • Changes to Staff pay due to promotion or demotion

Payroll Decision Guidance

Payroll services are priced based on the accounting, reconciliation, and compliance oversight required. When the cost of payroll accounting for an outside provider approaches the cost of ABBL-managed payroll, ABBL payroll is typically the more efficient and cost-effective option.

Payroll services include payroll processing and payroll-related accounting only. Benefits administration, HR compliance, and employee relations are NOT included in payroll services and remain the responsibility of the client.

Changes in employee count, payroll structure, benefits, time tracking, or payroll providers may require pricing adjustments or service tier changes.

Employee Thresholds & Payroll Scaling

What Happens When You Reach 5 Employees?


In California, payroll complexity and compliance obligations increase significantly once a business reaches five (5) employees.

For Tier 3 clients:

  • Payroll includes up to 4 employees

  • Employees 5–20 are supported through per-employee monthly add-ons, reflecting increased software, compliance, and administrative oversight

  • Businesses with more than 20 employees require a custom payroll proposal

Employee thresholds are proactively monitored and discussed as growth occurs.


California-Specific Payroll Considerations


As the employee count increases, California employers face additional requirements, including:

  • 5+ employeesExpanded sick leave rules, workers’ compensation audits, increased HR exposure

  • 15+ employeesADA compliance and expanded harassment-training requirements

  • 50+ employeesFMLA, ACA reporting, and additional labor law obligations


Because of these escalating requirements, HR advisory, benefits administration, and advanced compliance services are not included in payroll services and remain the responsibility of the employer.


Payroll vs. Benefits:

Our payroll services include the accurate processing of payroll and payroll-related deductions only.


NOT INCLUDED:

  • Benefit plan selection

  • Open enrollment

  • Employee benefit questions

  • Carrier communications

  • ACA, ERISA, COBRA, and similar filings

are not included in payroll services and should be handled by your benefits broker or HR provider.


We are happy to track benefit deductions through payroll where applicable, but benefits themselves are administered outside of payroll.


What If You Already Have a Payroll Provider?

If you already use a third-party payroll provider, such as Gusto, ADP, Paychex, OnPay, Rippling, or similar platforms, we can support proper payroll accounting and reconciliation within QuickBooks.


See above "Alternative Client Run Payroll" options in each Tier for pricing. We still have to charge for payroll oversight and managment services even if we dont' set up and manage yor payroll provider. This is because payroll adds complexity to your financials, which we are responsible for getting right. The work for this is different then the work of us setting it up through QuickBooks ourselves and managing it internally for you.


In many cases, bundling payroll directly through ABBL is the most cost-effective and streamlined option.


Client-Run Payroll (Any Tier)

If payroll is processed through a third-party provider (e.g., Gusto, ADP, Paychex), ABBL does not provide payroll processing or payroll software fees coverage.


Instead, ABBL provides Payroll Accounting & Reconciliation Services, which include:

  • Mapping payroll accounts into QuickBooks

  • Posting payroll journal entries

  • Tracking and clearing payroll liabilities

  • Reviewing quarterly and annual payroll tax filings

  • Storing payroll documentation in the client portal

This service is priced separately and is never less than ABBL-managed payroll at the same level of complexity.



Payroll Termination & Employer Close-Out

One-Time Service (ABBL-Managed Payroll)

This service applies when a business is permanently stopping payroll, such as:

  • Closing the business

  • No longer having employees

  • Removing the company as an employer (owner-only payroll ending)

It ensures payroll is properly shut down, filings are completed, and liabilities are cleared so there are no lingering compliance issues.


One-Time Fee

$350 one-time fee

(Standard for Tier 1–Tier 3 payroll clients)

This fee is intentionally flat so it’s easy for us to quote, make clear, and defend.


What This Service Includes

Payroll Finalization


  • Processing or verification of the final payroll

  • Confirmation of final wage, tax, and benefit amounts

  • Verification of final pay date and tax period coverage


Payroll Tax Close-Out


  • Final federal payroll filings (e.g., final 941/940 as applicable)

  • Final state payroll filings (1 state included)

  • Marking returns as “final” where required

  • Confirmation that payroll tax payments are complete


Employer Status Removal


  • Deactivation of payroll within ABBL’s payroll system

  • Removal of the company as an active employer

  • Confirmation that no future payroll runs or filings will occur


Accounting & Reconciliation

  • Final reconciliation of payroll liabilities

  • Clearing payroll-related balance sheet accounts

  • Verification that payroll balances tie to filed returns


Documentation & Records

  • Download and secure storage of final payroll reports

  • Storage of final payroll tax forms in the client portal

  • Confirmation checklist provided to client upon completion


What’s Not Included


  • Business dissolution filings (Secretary of State, IRS entity closure)

  • Final income tax returns

  • Benefits plan termination or carrier communication

  • COBRA administration

  • HR or legal compliance advice

When This Fee Applies

  • This one-time fee applies when:

  • Payroll is stopped permanently

  • The business is no longer an employer

  • Payroll will not resume in the future

When This Fee Does Not Apply

  • This fee does not apply to:

  • Temporary payroll pauses

  • Seasonal payroll gaps

  • Switching from ABBL-managed payroll to client-run payroll (handled under payroll accounting transition scope)

  • Routine employee terminations (handled as standard termination add-ons)


Optional Add-Ons (If Applicable)


  • Additional state payroll close-out: $100 per state

  • Benefits deduction termination coordination (payroll-side only): $75

  • Mid-quarter or retroactive corrections: Quoted as needed

If payroll services are terminated permanently, a one-time Payroll Termination & Employer Close-Out fee will apply. This service includes final payroll processing verification, final payroll tax filings, reconciliation of payroll liabilities, system deactivation, and secure documentation of payroll records.

Payroll services provided by A Bigger Bottom Line (included in the Gold and Platinum programs or paid as a standalone tier 1 service) include payroll software, payroll processing, and payroll tax compliance at the service tier selected. Payroll software is included in the service fee and paid for by ABBL. Clients do not purchase or manage payroll software separately when enrolled in ABBL-managed payroll services.


Scope & Compliance Disclosures

Payroll services are provided according to defined service tiers and employee thresholds. Additional employees, benefits, time tracking, accruals, or complexity may require add-ons or subscription upgrades.

Payroll services include calculation, processing, and reporting of payroll and payroll-related deductions only. Benefits administration and HR compliance remain the responsibility of the client.
